About the role
In this role, you will:
· Obtain clear instructions from the client/intermediary in relation to the preparation of documents and other work to be undertaken on a matter.
· Prepare draft documents for review by a more senior fee earner. To assist more senior fee earners in reviewing and providing comments on documents provided by third parties.
· Fulfil a supporting role and client contact point on any matter allocated; to perform such duties cost effectively. To review progress and any issues of concern regularly with the supervising fee earner.
· Assist fee earners in the team with matter management and to manage own matters when required.
· Act as Matter Manager to be responsible for a matter from set up on receiving instructions to the closure of the matter after payment of the final bill. The Matter Manager's responsibilities include:
§ ensuring correct and full information for matter opening and during the course of the matter.
§ ensuring an engagement letter and Terms of Business have been sent to the relevant entity.
§ ensuring compliance procedures are adhered to for the matter (conflict searches, verification of the linked entity, Acceptance of Business procedures completed)
§ meeting clients' needs.
§ quality assurance of the work carried out and timely delivery of service.
§ work/time recording to the matter on a daily basis.
§ ensuring all relevant disbursements are charged to the matter.
§ value pricing - determining the amounts to be billed.
§ prompt billing in the appropriate format.
§ where appropriate, ensuring that a bible for the transaction is prepared by us or a third party.
§ pursuing payment of bills, in conjunction with the Credit Control team
§ extracting and recording Know How from the matter into the Know How database.
§ undertaking active client relationship management in relation to the matter liaising with the Relationship Manager as appropriate.
§ ensuring that all those involved in a matter are kept well-informed.
· Actively share know-how within the firm including contributing to the in-house know-how database.
· participate actively in departmental and team meetings.
· contribute actively to the in-house library of standard documents.
· Undertake business development when required including identifying potential business opportunities with new and existing clients/intermediaries.
· Sign documents and otherwise communicate with third parties in a manner which is in accordance with the individual’s personal employee authorisation.
